Plan your transport
Link the machine identifier, order reference and the contact who authorises release. State which documents the site expects, such as a collection note, reference number or payment confirmation. Commercial questions are settled by buyer and seller before the date, so nobody at the gate has to decide whether the machine may leave despite open points. If a machine identifier changes, update it in the release as well.
What a collection release should include
A practical release names the machine with serial number, buyer, order reference, collection address, authorised transport company and the on-site contact. A short letter or email from the seller is often enough. Send us a copy so it can be shown at the gate on collection.
Release at dealers and storage sites
If the machine is at a dealer or in an external warehouse, a separate release may be needed there. Check whether the warehouse accepts the owner’s release or issues its own collection number. That number belongs in the enquiry.
What matters
- Link machine identifier with order reference
- Name the release contact at the seller
- Record the documents expected at collection
